A batch is ready only when its exceptions are visible

Separate roster preparation from offer authorization, and run a small fictional preflight before a large onboarding batch.

In this article

Do not measure batch readiness by how many rows exist. Measure whether the intended population is agreed, the unresolved rows are separated and the person sending the batch knows what they are authorized to send.

What the public guide establishes

Start+ documents individual crew additions and a CSV bulk-upload route using its downloadable sample. Manage Crew is permission-based. The guide describes checking an email against an existing user during an individual addition. It does not make a local planning spreadsheet an authoritative personnel record.

The practical lesson is to prepare the list in the authorized environment, not to build an imitation upload tool on a public website. This article has no upload control. The checklist below uses categories and counts, not actual names or addresses.

Split the queue before touching the template

Use three operational buckets: ready for authorized entry, awaiting a decision, and outside this batch. This is a coordination aid, not a product status. An unresolved person should not disappear from the planning picture, but should not be silently mixed with a group whose details have been approved.

For each exception, name the question rather than a suspected answer. “Confirm intended project” is better than “probably the same project as last week.” “Resolve duplicate-looking entry with roster owner” is better than deleting a row because two names look similar. Use the production’s authorized records and escalation route for actual identity resolution.

A preflight in five checks

  • The intended project and batch purpose have been stated.
  • The roster owner has resolved the inclusion list.
  • The current official template and instructions are available to the authorized operator.
  • Unresolved items have owners and are not disguised as completed rows.
  • The operator knows how the result will be reconciled against the intended batch.

A preflight does not authorize access or sharing. Keep the working file in the production’s approved location, limit recipients to those who need it and follow the employer’s retention rules. Do not email a full roster to an editorial publisher for troubleshooting.

Fictional reconciliation

The plan has twelve ready entries and two questions. After an authorized operator performs the real workflow, the coordinator compares the outcome with the twelve-entry plan, not the fourteen-entry master list. The two questions still have owners. This prevents an apparently tidy total from hiding the difference between omitted work and deliberately held work.

Make the next batch easier without copying yesterday

Capture process findings rather than duplicating sensitive data: the template needed a review, the inclusion list arrived too late, or a role was unclear. A reusable checklist can carry those lessons without carrying forward another production’s personal details or terms.

Before the next send, repeat the inclusion and authorization checks. A successful earlier batch does not prove that a later list is correct. Read the offer design review for the next decision boundary and the daily exception brief for work that remains unresolved.
